Graphic guide to importing exchange files

When importing an exchange file, we work on the Works tab. First we save the file that was sent to us onto the computer. Then we select which work type we will import from the file, expand the Other actions button and choose Import exchange stock. If the library that sent us the file does not use Clavius or Tritius, we must always select the work type in advance.

In the dialog that appears, we first select the source (system) used by the parent library the file comes from, and the location in our library into which we want to import the items from the file. Then we click the select file icon.

Another small window appears, where we click the Select button. Now we find the exchange file on the computer, click it to mark it and press Open. We confirm the file selection with the OK button.

If the exchange file reaches us packed in an archive, typically ZIP, RAR or 7Z files, the file needs to be extracted before the import. We right-click the file and choose Extract all (fig. 3a). We confirm extraction into the selected folder by clicking the Extract button (fig. 3b). Then we open the extracted folder (fig. 3c), click the exchange file in it to mark it and press Open. We confirm the file selection with the OK button.

When everything is selected, we check the details once more and start the import by pressing the Import button. If we are uploading a large file, the import can take even several minutes. We therefore wait until it finishes and under no circumstances switch Tritius off.

After the import we are shown information about the result. If the number of works not imported is zero, the import was successful. We can close the overview and we are done. If it shows that not all works were imported, we contact the sending library or the support portal and attach the uploaded file.
